Onboarding Checklist

Welcome to 10ninety, we are excited to have you onboard!

To help you get started, we've put together the following checklist to help you get the best start on 10ninety.

General Setup

Update your Company Details Add your Company details to the System such as your registered address, business email and phone number. This is done by going to Admin -> Company Details.
Update your Branch Details Add any branch specific details to the System, such as a branch email or contact number. This is done by going to Admin -> Branches.

Add your Company Logo You company logo will appear in your Brochures and Window Cards. It will also appear in your email footer if you do not have a custom email footer applied to your system.

Add your Company Letterhead Your company letterhead is applied to all the Letters, Statements and Invoices you generate within your 10ninety system. It is also applied to your document templates.

Add more Users to your system We do not charge per User added to your system, so you can have as many Users in your system as you desire. We would encourage that every colleague using 10ninety has their own account. This ensures all activity is logged correctly in the System's audit trail.

Setup your custom Email Footer If set, all emails sent from the system will use your custom email footer. This ensures brand consistency between emails sent from your usual email provider and emails sent from 10ninety.

Add the email DNS changes we sent you Adding these changes to your domain will help reduce the likelihood of emails you send from the system ending up in your contacts' Spam folders and also reduces the risk of emails not being delivered. If you have not yet received the required DNS changes, please reach out to the Support Team.

Add your Searchable Areas Searchable Areas help match the right Properties to the right Applicants by being able to specify the area of the Property and specifying your Applicants' desired areas.

Data Setup

Add your Landlords to the System All Lettings Properties require a Landlord in 10ninety, so to be able to add your Properties, you will first need to add your Landlords.

Add your Tenants to the System Add your Tenants to the System so that you can start creating and managing Lettings (tenancies).

Add your Vendors to the System All Sales Properties require a Vendor in 10ninety, so to be able to add your Properties, you will first need to add your Vendors.

Add your Buyers to the System Add your Buyers to the System so that you can start managing your Sales.

Add your Lettings Properties to the System Add your Lettings Properties so that you can add Lettings against them and market them on the portals and your website.

Add your Sales Properties to the System Add your Sales Properties so that you can record Sales against them and market them on the portals and your website.
Add your Lettings (Tenancies) to the System

Add your Lettings to the System so that you can track and manage the Letting. Lettings are required in order to be able to record Rent Payments from your Tenants and to generate Landlord Statements. From the Letting, you can also track the Tenant Account, Rent Schedule, Inspections and much more.

⚠️Important! – If you’re adding current tenancies, we strongly recommend setting the ‘Start Date’ as the next rent due date (Option 2).

Add your Suppliers to the System Add your Suppliers to the System so that you can start assigning them maintenance work and track their invoices.
Add your Solicitors to the System Add your Solicitors to the System so that you can start adding them to the Sale Details for your Sales.

Review the Alerts dashboard The Alerts dashboard gives you an up-to-date snapshot of all core aspects of the system - from flagging overdue rent to expiring compliance certificates.

Marketing Setup

Set-up your live listings with marketing details (photos, floorplans, rooms, features) Get your properties market ready for the marketing portals such as Rightmove, Zoopla and OnTheMarket.
Put your live Properties on the market Properties must be set as being 'On the Market' in 10ninety in order for them to be listed on the portals and your website.

Add your Portals such as Rightmove, Zoopla and OnTheMarket to your System 10ninety can integrate with all the major portals and most other portals that accept a Data Feed. You can then market your properties directly within 10ninety all from one place. We can also import your leads from Rightmove, Zoopla and OnTheMarket.

Link your third-party website 10ninety can integrate with your third-party website. Simply ask your Website Developer to reach out to the Support Team who will be able to provide them with all the available options and assist with the initial setup.

Select your preferred Property Brochure and Window Card The system comes with several different Brochure and Window Card designs to choose from - select your favourite and have this set as your default.

Update your Tenancy Information that is sent to the portals The Tenant Fees Act of 2019 requires that agents with properties in England for let publish any Permitted Payments; details of their membership and name of the redress scheme; details of their membership and name of any client money protection (CMP) scheme on third party websites (i.e. portals like Rightmove, Zoopla etc).

Enable automated import of Portal Leads 10ninety can import your portal leads directly into the system so that you have one central point to manage your new leads.

Configure the Automated Registration emails Your system can automatically send any new Applicants who enquired through your 10ninety website or portals a welcome email asking them to confirm their marketing consent. This email is fully customiseable. You can combine this with a 10ninety registration form to gain further insights on the Applicant's requirements. To enable these emails, simply contact the Support Team.

Use the Applicant Matching feature The System can search across your applicants and match them to properties that match their desired search criteria. You can then easily manage this list and send marketing communications to the matching applicants.

Administration

Start using the Branch Diary The Branch Diary in 10ninety gives you an overview of all your appointments happening across the company. From it you can track anything from a Valuation to a Maintenance Job.

Link your 10ninety Diary to your phone or Outlook You can sync both the Branch Diary and your Personal Diary to your phone's calendar or to Outlook to maximise your appointment visibility even when on the go.

Start using Tasks Tasks allow you to keep a running To Do list directly within your 10ninety system. You can assign Tasks to particular contacts or Properties and even set tasks for other colleagues.

Setup your Checklist Templates Checklists can be created against Properties, Contacts and Maintenance Jobs to ensure that your processes are followed in the correct order, ensuring that no step gets missed.

Start adding your own custom Templates Although the system comes with many templates built in for you to use and edit as you wish, you may prefer to add your own templates into the system, such as a custom AST that you use.

Client Accounting

Add your Bank Accounts to the system Adding your Bank Accounts to your system allows you to accurately track your transactions - showing exactly which account each transaction applied to.  This allows you to reconcile your client account to the system.

Start adding Tenant Receipts to your system Tenant Receipts are the formal records in your 10ninety system that show that a Tenant has made a payment to you. Adding Tenant receipts ensures that you can accurately track your Tenant's account with you - and allows you to track late payers.

Start generating Landlord Statements Landlord Statements are the formal records in your 10ninety system that show what you as an Agency have paid the Landlord, less any deductions you have made.

Start using the Tenant Receipt Bulk Import feature and bulk pay Landlords If you have many Lettings with many paying Tenants, you can take advantage of the Tenant Receipt Bulk Import feature to streamline your Rent Run. You can also generate and settle Landlord Statements in bulk and create a BACS export of these payments to upload to your bank.
Drawdown your Fees earned Once you have received your fees from your Landlords, you need to mark these as drawndown to show that you have moved these funds from your Client Account to your Office Account.

Integrations & Add-Ons

Start using eSigning* The eSign add on integrates directly with Signable so that you can send your documents out for eSigning directly from 10ninety. You can also track the signing progress and view the completed documents all through 10ninety.

Link your Deposit Protection Scheme to 10ninety You can link your DPS, TDS or MyDeposits account with 10ninety, allowing you to register deposit details directly form the system.

Implement a Tenant Application Form* A Tenant Application Form allows you to gain the entire application in one snapshot; the submission results are automatically added to your 10ninety system against a brand new contact in your system. If the applicant already exists, we will simply update the existing record. Any additional documents or ID submitted with the application will also be present in your 10ninety system under the contact.  Similar forms can be created for landlords, vendors and buyers.
Implement Lead Qualification forms* Lead Qualification forms help you to identify the most suitable applicants for your clients by sending them pre-viewing questions after they have made an initial enquiry.
Implement the Client Hub* Your clients can now keep up with the current status, activity and upcoming events on their account, and access their data online at any time without having to contact yourselves. The portal is branded for your agency, and available for your landlords, tenants, vendors and buyers.

Implement the Maintenance Reporting Form* The Maintenance Reporting Form empowers your Tenants to submit any maintenance requests, including photos of the issue, through a dedicated online form. These submissions then appear in a dedicated alert in your 10ninety system, allowing you to triage and raise a formal Maintenance Job if required. You are also emailed a notification for each submission.

Send SMS Messages from the System* You can send SMS messages to your contacts in 10ninety, for example Diary Reminders or Viewing Confirmations. We integrate with TextMarketer to achieve this.

Utilise the Social Media Pack* The Social Media Pack allows you to post property marketing to Facebook, Instagram and X (Formerly Twitter) directly from your 10ninety system.

Configure the Automations Pack* Let the system take care of frequently occurring tasks for you. The Automations Pack covers Automated Rent Due Invoicing, Automated Rent Overdue Reminders, Automated Diary Reminders, Automated Feedback Requests and Automated Applicant Matching Emails.
