Setting Up Diary Teams

The branch diary has many functionalities, one of which is to create different sets of diary teams. Here we look at how to create these diary teams as well as colour coding staff members and switching between different diary views.

Creating diary teams

Instead of showing all Staff on one diary, 10ninety allows you to group a subset of staff together into Teams, which can then be specifically viewed on the diary. Staff can also be added to multiple teams if required.

To set-up the diary teams, click on the "Manage Teams" link in the branch diary:

Enter the name of the team and then click Add, you will then see this appear in the Teams list. To then add staff click Members, choose the staff member from the dropdown list and then Add, repeat this until all staff for this team have been added

Users can set a default team on their staff details page – the branch diary will then default to showing appointments for that team when they click onto it. 

Switching to Staff View

As default when looking at the branch diary, this will show all appointments in a single column. You can change this to have a column for each person by in the branch diary clicking the "Switch to By Staff View" link in the top right-hand corner:

This view can be set as the default branch diary view if required. Please contact 10ninety support if you would like this option enabled.

Colour coding diary staff

To make the diary entries are as clear as possible you have the ability to colour code staff in the branch diary. Staff can easily see when they have an appointment that relates to them and act accordingly.

This option is added in the staff details page by clicking Admin > Staff under the "Company Menu" > Edit on the relevant staff member. Scroll down the basic details section until you see the three options below:

Click in the Diary Colour box and you will receive a full palette of colours to choose from.

You can also choose the Diary Order here - the order that staff members show in the "by staff" view, alongside the Default Diary Team - choosing this allows you to see only the diary for the team members that are relevant to the staff member, as explained above.
