How to add a lettings property

Before you can add a lettings property into the system, you need to register the landlord (see here).  Having done that:

  1. Click on the "Lettings" top menu tab
  2. Click the "Add" button and search for the landlord of the property (matches will automatically appear as you start typing) - click "Select" against the correct landlord.  You will be taken to the "Add Property" form.
  3. Enter details for the property - mandatory fields are marked *.
  4. Click "Add" to Save down the new property.
  5. Click on the side-menu options to add further marketing details for the property.

Property Form Fields

Most of the fields in the property form are self-explanatory, but some additional notes are provided below:

"Reference" - by default, this is auto-generated.  If you would like the default prefix to be changed, or would like to have the option to set your own property references, please contact 10ninety support.

"Type" - this is the set of most common property types.  If you require additional types in the list, please contact 10ninety support.

"Display address" - this is the address that will appear on marketing materials.  Typically it is the address without the house number.

"Searchable areas" - geographic areas can be set-up in the system under "Admin" -> System Data" -> "Areas".  These are primarily used in property searches - applicants can state in which areas they are looking, and properties can be defined as being within one or more areas.

"Is HMO" - if ticked, this property will be set-up as a House in Multiple Occupation, allowing lettings to be set-up on a room-by-room basis in the property.  Furthermore, if advanced HMO options are configured in your system, rooms can actually be marked on an individual basis - please contact the support team for more details.

"EPC ratings" - the system will generate an EPC graph for the property if they ratings are provided.

"Current Occupant" - normally the current occupant is inferred as the tenant in the current letting at the property.  However, if the tenancy is not set-up in the system (i.e. an external tenant) or the occupant is the landlord, specify this in the Current Occupant field.  This allows viewing notification emails to be directed at the correct occupant.

"Letting Fee" - this is the initial set-up fee that you will charge the landlord for setting up the tenancy.  Note - it can be overridden on a letting-by-letting basis.

"Management Fee" - this is the ongoing monthly fee or commission for managing the property.  Note - it can be overridden on a letting-by-letting basis.

Expiry date fields - when gas safety certificates etc are about to expire, they will appear in the property management alerts on the Alerts Dashboard (under "Home" -> "Alerts").

"Maintenance Notes" - provide any additional information regarding maintenance procedures at the property in this field (e.g. preferred contractors, maximum job prices, etc).  They will then appear as a reminder at the top of the maintenance pages (e.g. when adding a new maintenance job).
